How far in advance should I submit my request?
Clients are encouraged to submit design requests at least two to four weeks before the desired completion date. Branding packages, apparel orders, publications, video projects, and large event packages may require four to eight weeks or longer. Availability and turnaround time depend on the project’s complexity, quantity, production needs, and VELF’s current schedule. Submitting a request does not guarantee availability or confirm booking.
Is a deposit required?
Yes. A nonrefundable deposit—generally 50% of the estimated project total—is required to reserve your project and begin creative work. The remaining balance is due before final files are released or products enter production, unless another payment schedule is stated in writing. Projects are not added to the production schedule until the required payment and materials have been received.
Do you print apparel or only design it?
VELF provides both apparel design and production services. We can develop the artwork, help select garments, prepare the design for production, and coordinate printing or embroidery. Design-only service may also be available for clients who plan to use another approved production company. Apparel pricing depends on the garment, quantity, sizes, design complexity, print locations, and production method.
Do you ship or offer local pickup or delivery?
Yes. Shipping is available at the client’s expense and will be added to the final invoice. Local pickup may be arranged in the Kansas City area. Local delivery may also be available for an additional fee based on distance, order size, and scheduling. Once an order has been transferred to the shipping carrier, delays caused by the carrier, weather, or an incorrect address are outside VELF’s control.
Can you recreate a design I found online?
A reference image may be provided as inspiration to communicate a preferred style, layout, color palette, or overall direction. However, VELF will not reproduce another artist’s or company’s design exactly or remove watermarks from protected artwork. We can create an original design inspired by the general concept while ensuring that the finished work is distinct and customized for your needs.
What permissions must I have for submitted logos, photographs, and other materials?
Clients are responsible for securing permission to use every logo, photograph, illustration, trademark, copyrighted work, name, likeness, or other protected material submitted to VELF. By providing these materials, the client confirms that they own them, have received appropriate authorization, or are otherwise legally permitted to use them for the requested purpose. This includes photographs obtained from websites, social media pages, search engines, photographers, organizations, and other third parties. VELF may request proof of permission and may refuse or pause any project involving material that appears unauthorized.
Do you provide refunds on custom products?
Because custom products are created specifically for each client, all sales are final after the design proof, garment selection, quantities, sizes, and production details have been approved. Refunds or exchanges are not provided for incorrect information approved by the client, incorrect sizes ordered, changes of mind, or normal variations in color, placement, material, and production. If an item arrives damaged or contains a production error that differs materially from the approved order, the client must contact VELF within three business days and provide photographs of the issue. VELF will review the concern and, when appropriate, arrange a correction, replacement, or other reasonable resolution. Products should not be worn, washed, or altered before the concern is reported
Do you accept rush projects?
Rush projects may be accepted depending on availability, project complexity, and the requested deadline. A rush fee will apply to work requiring completion sooner than VELF’s standard turnaround time. Rush service does not begin until the project scope, payment, content, and required materials have been received. Production and shipping timelines from outside vendors cannot always be expedited or guaranteed.
How many revisions are included?
Most design projects include up to three rounds of revisions unless otherwise stated in the proposal or invoice. A revision round consists of one organized set of requested changes submitted at the same time. New concepts, significant changes in direction, additional versions, or revisions beyond the included rounds may require an additional fee. Clients are encouraged to review each proof carefully before responding.
Can I provide my own garments?
Client-provided garments may be accepted on a case-by-case basis and must be approved before they are delivered to VELF. Garments must be new, clean, and compatible with the selected production method. Because every printing and embroidery process carries some risk, VELF is not responsible for replacing client-provided items that become damaged during production unless the damage resulted from proven negligence. Providing at least one additional garment is strongly recommended.
Do you provide editable source files?
Standard project pricing generally includes the approved final files in formats appropriate for their intended use, such as PNG, JPG, or print-ready PDF. Editable source files—including AI, PSD, EPS, or working Canva files—are not automatically included. They may be purchased when available and must be specifically listed in the project agreement. Fonts, stock images, templates, licensed assets, and other third-party materials may have separate restrictions and may not be transferable.
Can you use church, fraternity, sorority, university, or organizational logos?
Protected logos and marks may only be used when the client has authorization from the organization or rights holder. Membership in an organization does not necessarily grant permission to reproduce its trademarks on merchandise or promotional products. Clients requesting the use of a church, fraternity, sorority, university, business, ministry, or organizational logo must provide the approved artwork and, when requested, written documentation establishing permission. VELF reserves the right to decline any project when authorization cannot be verified.
What happens if I cancel my project?
Cancellation requests must be submitted in writing. Deposits and payments for work already completed are nonrefundable. If the value of the work completed or expenses incurred exceeds the amount already paid, the remaining balance will become due. Any completed work will remain the property of VELF until all outstanding charges are paid. Vendor purchases, special-order garments, printing costs, licensing expenses, and other nonrecoverable costs cannot be refunded. Projects that remain inactive because of missing client feedback, content, or approval may be closed and require a reactivation fee to resume.
